How to support your team during the COVID-19 outbreak with intelliHR

Over the last couple of days we’ve had many customers reach out to us asking how they can best use intelliHR during the evolving COVID-19 pandemic. As we become increasingly aware of the impact COVID-19 outbreak is having in our workplaces, it’s important to help your teams stay connected and feel supported, while at the same time accessing critical real-time “whole-of-workforce” sentiment data, no matter where your team is working from. Below are some of the ways that our customers are using intelliHR to keep up to date with their team and encourage a productive and healthy working environment.

Policy requirements

Whether your team is working from home or still working in the office, chances are that there will be some big changes. With social distancing being recommended and hygiene practices being regularly updated, it’s important that new policies are distributed with ease. 

Here are some of the policies that we have seen distributed:

  • Cleaning procedures 
  • Working from home policy
  • Self-isolation/quarantine policy 

When quickly pulsing out these updates you can require team members to confirm they have read and understood the information, plus there’s the option to provide feedback and ask questions. Having the opportunity for two-way communication is vital, and reassurance that you and your team is on the same page is key to working remotely. 

Checking-in

The effects of a global pandemic are making themselves known in the supermarket, doctor’s office and now in the workplace. Considering the chaotic nature of the outside world, it’s important to think about the holistic health and wellbeing of your team members. Now more than ever, is the time to check-in with your team and see how they are going. 

Use our check in forms to see how your team is progressing with their work, but also if they need any extra assistance. Perhaps they have a sick family member and need to take leave, or maybe they need direction to some mental health resources. 

Using check-ins also assists with keeping business functioning as usual, to support continuous feedback loops and also follow up on coaching as necessary. The structure of these forms allows for direct communication that conveys the feedback needed, which often isn’t done through an email as they can lack structure. By following a templated structure, you’re able to consistently check in on your team. 

 

Working from home 

Where possible, many workplaces have introduced remote working policies that have seen employees working from home. As we mentioned briefly above, many companies have issued policies out about requirements needed to work from home. 

However, you can take this a step further and take advantage of some of our tailored work from home checklist – perfect for businesses who have recently switched to remote working.

Managing self-isolation and quarantine 

In the unfortunate circumstance that one of your employees has to self-isolate or go into quarantine, you may need to manage the extended leave of many of your team members to control the spread. Use the intelliHR extended leave tracker to see which of your team members are off and to see when you should check-in on them for their future return. 

 

Training and development

Perhaps the pandemic of the COVID-19 outbreak has shed a light on areas in your business where you may need some more skills bridged. If members of your team are currently at home and unable to do parts of their normal role, this may be an opportunity to dedicate time towards training or upskilling.

Goal setting 

If your office has gone remote keeping track of task allocation and progress may be a bit difficult if you can’t lean over and ask a few quick questions. To avoid the potential of constant follow up emails and messages, track tasks using our goals function. The goals feature of intelliHR allows for cross team feedback and collaboration through comments.

You can also maintain visibility over when items are being ticked off and shout-out members of your team for achieving their goals. With this feature, you can cascade goals down to your team so that you can all work towards the same project remotely, and tick off items when completed. With a remote team, it’s critical there’s alignment on priorities.

 

Core employee records (people/job data):

Another useful function of intelliHR is keeping track of your people data:

  • Emergency contact details – have these readily available for all leaders in your organisation
  • Medical conditions – ensure these are up to date and available in an emergency
  • Custom fields – store ad-hoc data needed in times of crisis, for example ‘Employee Workplace’ or ‘Remote Work Hours’

Having this data up to date and centrally stored in intelliHR means it’s readily available to be exported for external emergency communication. 

 

Decision Making with Analytics 

If you are managing teams, or responsible for HR, you may be wondering about the greater impact that COVID-19 outbreak is having on your workforce. This is the perfect opportunity to utilise your analytics dashboard to its full potential. Use AI to see how happiness is trending in your organisation, and pinpoint where your help might be necessary. If you’ve released a new policy, track the acceptance of your team from the convenience of your dashboard.
